1. What is Power BI?
Power BI is Microsoft’s business intelligence tool. It connects to data, cleans it, builds a model, and publishes interactive reports. The main pieces are Power BI Desktop (build), Power BI Service (share online), the mobile apps, and Report Server for on-premises setups.

Desktop is a free Windows application where you load data, write DAX, and design reports. Service is the cloud platform where you publish those reports, schedule refreshes, manage workspaces, set access, and build dashboards for business users.
3. What is the difference between a report and a dashboard?
A report has multiple pages, is built in Desktop, and supports deep filtering. A dashboard is a single canvas in the service made of tiles pinned from one or more reports. Reports are for exploring. Dashboards are for monitoring.
4. Which data sources can Power BI connect to?
Excel, CSV, SQL Server, SharePoint, web pages, REST APIs, Azure services, Google Analytics, and hundreds of other connectors. Interviewers asking Power BI interview questions about data sources want proof of real use, so name 3 sources you’ve actually worked with.
5. What is Power Query?
Power Query is the data preparation layer. You clean and reshape data through recorded steps, and it writes the M language behind the scenes. Typical jobs: removing duplicates, splitting columns, changing data types, unpivoting, and merging tables.
6. What are Import, DirectQuery, and Live Connection modes?
This one shows up in almost every set of Power BI technical interview questions.

8. What is DAX?
DAX (Data Analysis Expressions) is the formula language for measures, calculated columns and calculated tables. It looks like Excel formulas but works on tables and relationships. DAX interview questions usually start here and move quickly to CALCULATE and context. Expect them in every round of Power BI interview questions after the screening call.
9. What is the difference between a slicer and a filter?
A slicer is a visual on the canvas that users click. Filters live in the filter pane and apply at the visual, page, or report level, usually set by the developer. Slicers are for the viewer. Filters are for the designer.
10. Which visual would you use for trends, comparisons, and KPIs?
Line charts for trends over time, bar or column charts for comparing categories, cards for single KPIs, matrices for cross-tabs, and maps for location data. Pie charts with more than 4 slices are hard to read, so mention that you’d avoid them.
Intermediate Power BI interview questions for 1 to 3 years of experience
These Power BI interview questions for experienced candidates move from definitions to reasoning. Expect follow-ups like “why did you choose that?”
11. What is a star schema, and why does Power BI prefer it?
A star schema has one central fact table (sales, orders) linked to dimension tables (date, product, customer). It keeps the model small, makes DAX simpler, and gives the VertiPaq engine what it compresses best. Flat, wide tables are slower and harder to maintain.
12. Explain relationship cardinality and cross-filter direction.
Cardinality can be one-to-many, many-to-one, one-to-one or many-to-many. Cross-filter direction decides how filters travel: single (dimension to fact) or both. Default to single direction. Bi-directional filters can create ambiguity and slow reports down.
13. What is the difference between row context and filter context?
Row context means “the current row” and exists in calculated columns and iterators like SUMX. Filter context is the set of filters from slicers, visuals, rows, and columns that decide which data a measure sees. Most wrong totals trace back to mixing these two up.
14. What does CALCULATE do?
CALCULATE evaluates an expression after changing the filter context. It’s the most tested function in DAX interview questions. Example: Sales 2025 = CALCULATE([Total Sales], 'Date'[Year] = 2025) ignores the year selected in a slicer and forces 2025.
15. How do you handle time intelligence in Power BI?
Build a proper date table, mark it as the date table, and relate it to your fact table. Then use functions like TOTALYTD, SAMEPERIODLASTYEAR, and DATEADD. Without a continuous date table, time intelligence returns wrong or blank results.
16. What is the difference between SUM and SUMX?
SUM adds one column. SUMX goes row by row, evaluates an expression for each row, then adds the results. Use SUMX for things like quantity times price, where no single column holds the answer.
17. What is query folding?
Query folding means Power Query pushes your transformation steps back to the source database as one SQL query, so the source does the heavy work. Steps that break folding (custom functions, some merges) force Power BI to pull everything in first. Right-click a step and check “View Native Query” to confirm.
18. What is row-level security (RLS)?
RLS restricts which rows a user can see. You create roles with DAX filters, such as [Region] = "North", and assign users in the service. For a setup that filters by the logged-in user, use USERPRINCIPALNAME() against a security table.
19. What is an on-premises data gateway?
A gateway is a bridge that lets the Power BI Service refresh data from sources behind your firewall, like a local SQL Server. Without it, scheduled refresh fails for on-premises sources. Companies use the standard (enterprise) mode, not the personal one.
20. What is the difference between Merge and Append in Power Query?
Merge joins 2 tables side by side on matching columns, like an SQL join. Append stacks of tables on top of each other, like UNION. Use merge to add columns and append to add rows (monthly files, for example).

21. How does incremental refresh work?
You define the RangeStart and RangeEnd parameters, filter the date column, and set a policy such as “store 3 years, refresh the last 7 days.” Power BI then refreshes only recent partitions. It cuts refresh time on large fact tables from hours to minutes, and it needs a source that supports query folding.
22. What are composite models and aggregations?
A composite model mixes Import and DirectQuery tables in one model. Aggregation tables store pre-summarized data in memory, so most queries hit the small table and only detailed drill-downs go to the large DirectQuery source.
23. How do you tune a slow Power BI report?
Start with Performance Analyzer to see which visual is slow. Use DAX Studio to inspect the query and VertiPaq Analyzer to find heavy columns. Then:
- Remove unused columns and tables
- Lower cardinality (split datetime into date and time)
- Replace calculated columns with measures where possible
- Cut the number of visuals per page
- Switch bi-directional relationships to single
24. What are calculation groups and field parameters?
Calculation groups let you write one time-intelligence pattern (YTD, MTD, prior year) and apply it to many measures, so you don’t create 40 near-identical ones. Field parameters let viewers swap the measure or dimension shown in a visual using a slicer.
25. How do you manage deployment and governance?
Use separate Dev, Test, and Prod workspaces with deployment pipelines, certified and promoted semantic models, workspace roles (Admin, Member, Contributor, Viewer), and sensitivity labels. Mention version control for PBIP projects if you’ve used Git.
26. What do you know about Microsoft Fabric and Copilot in Power BI?
Fabric is Microsoft’s unified analytics platform, with Power BI as its reporting layer. Direct Lake mode reads Delta tables from OneLake without importing a copy. Copilot can draft DAX and summarize reports. Say what you’ve tried yourself, and be honest about what you haven’t.
Power BI scenario based interview questions
Scenario rounds test judgment. Answer these Power BI interview questions with a sequence of checks you’d run, and say your assumptions out loud.
27. A dashboard takes 30 seconds to load. What do you do?
Run Performance Analyzer and find the slowest visual. Check the DAX behind it in DAX Studio. Look at the model: relationship direction, column cardinality, data size. Reduce visuals per page and consider aggregations. Test again and share the before-and-after timings with the stakeholder.
28. The grand total doesn’t match the sum of the rows. Why?
Usually the measure computes a ratio or distinct count, and the total row evaluates it in a different filter context than each row. Check the measure logic, and wrap it in an iterator like SUMX over the grouping column when the total must equal the sum of rows.
29. Scheduled refresh fails overnight. How do you troubleshoot?
Open the refresh history and read the error. Common causes: expired credentials, gateway offline, a renamed source column, or a source timeout. Fix the cause, refresh manually, and set up failure notifications so the owner hears before the business does.
30. A manager wants 30 KPIs on one page. What’s your response?
Ask which 5 decisions the page supports. Put 4 to 6 headline KPIs on top, trends in the middle, and details behind drill-through or bookmarks. Show a quick mock-up. Managers usually agree once they see the cleaner version.
